Fix Duplicating Document Numbers - Pad Document Number Feature
Although using the Document # Change feature in TraCS can be useful in a pinch, it is not intended to be used long term on a machine that is duplicating.
Instead, TraCS has implemented the feature to fix a computer that is duplicating citation numbers without having to change the machine ID # or manually edit the Autonumber.ini file.
This feature is available to TraCS System Administrators.
Please know that you should not use this feature to fix two machines that are using the same machineID at the same time.
**This feature does not fix Uniform Traffic citation (ELCI)**
Please make sure that the machine has created at least one of each form your agency would normally issue. That way it fixes all your common forms. You can then delete these test forms after.
For example, if you install TraCS and accidently give it an already used machineID, this computer needs to be fixed. This new machine in this example has only created one Crash form. If you click the Pad Doc Number button, it will only apply this fix on the Crash form because only a Crash form has been created on this computer. Instead, you should create a form for each form your agency uses so that the Autonumber.ini file is populated with all these forms. Then the pad doc number button will fix all of these forms.
How to Pad the Autonumber.ini file
Log into TraCS with a user that has the System Admin access right.
Make sure this computer has created at least one test form of each form you use. (see above in blue).
Click the Tools tab and click the Form Numbers drop down
Click Stop Duplicates - Pad Document Numbers
It will then ask you how far forward in document numbers you would like the MachineID to change to
For example, if your agency creates many forms in TraCS and you believe the MachineID that is duplicating created numerous MachineIDs in the past, then the number you input should be higher.
Once completed, you should test one of the forms that were duplicating to see if it is a number that has already been generated by searching your archive.
Delete your test forms you created.
