Managing Document Numbers
Document numbers uniquely identify each form in your TraCS database. These numbers are automatically generated each time a user creates a new form.
The last number used and additional settings related to documents are stored on each computer in c:\programdata\tracs\setting\autonumber.ini. Optionally, your agency can choose to back up the contents of the AutoNumber file to the TraCS database. Typically, you will not need to manually edit this file, but will interact with it indirectly through the various configuration tools in TraCS
For all forms except the ELCI (Uniform Traffic Citation) form, the document number is composed of your assigned TAS (TraCS Auto-number Selector) number, a form indicator, the TraCS machine number, and a serial number. These components are compressed to create a 10 character document number.
Specific document number ranges for the ELCI form (Uniform Traffic Citation) are allocated by DOT to your agency and must be accounted for through periodic audits. Therefore, ELCI document numbers require additional management in order to install citation number ranges on each computer.
The inventory of ELCI document numbers is tracked through the “ELCI Number Inventory Control” form. This form is a TraCS form, but instead of being used to capture incident data, it is used to manage citation number ranges.
