There are times when a computer has created duplicate document numbers and changing the document number is the best solution. This feature is available for TraCS Supervisors and will change the document number to the next available one.
Ensure that this process is done on a computer that didn’t create the duplicate in question as well as on a computer that normally generates new forms (ie a squad computer). If there is only one computer at the agency, complete the Pad Document Number process BEFORE performing the Document # Change process. The document number change is recorded in the TraCS form log.
NOTE:
This feature does not work with the Uniform Traffic citation (ELCI).* (see note below)
Changing duplicate document numbers doesn’t take the place of fixing the computer causing the duplicates.

How to change document number?
Log into TraCS with a User who has Supervisor access rights or higher.
Highlight the form(s) with the bad document number in the Form Manager Viewer.
NOTE: You may highlight as many forms as needed.
Click Tools tab Click Document # Change button
Click YES button to continue.
The form(s) will now have a new document number (ie. 6S808G9LVT replacing 6S808G9LVS)
Highlight the form(s) with the bad document number in the Form Manager Viewer.
Click on Data Transfer > Update Transmission Status > Remove State Transmission Receipt
The form(s) status will show as “Failed Transmission” in the form viewer.
Click on the Home tab, look for and click on the Clear Status button (OR right click on the form, scroll to and select Clear Status).
This will change the status from Failed Transmission to Issued, Validated or Void status.
Transmit the form(s).
Hosted: Change the form status to Accepted.
Non-hosted: Click on Data Transfer > Transmit
*NOTE: Trying to change an ELCI document number will display this message.
