Working With Evidence


The evidence form work differently than other form. Because of the sensitivity of Evidence to trials the form locks down after it has been placed in inventory and only certain fields can be filled out after that and only via Ribbon Button. This form is also not available to everyone in the agency(it is not a part of the all forms access right.

This form has 3 agency table that are required to be filled out by the agency otherwise the form will not validate

  3. Evidence Storage #


Access rights

Access rights are set up differently for the Evidence form. The evidence from is not found in the All forms group and has 2 separate access rights that can be set.

  1. Evidence Reporter: this access right should be set for everyone that needs access to the form. This access right gives the right to view 3 of the reports along with the form. The Three reports are bar code, property receipt and chain of custody reports. This is the access right you would give someone that needs to view the evidence reports, an officer that collects the evidence on the street, along with Evidence technicians

  2. Evidence Supervisor: this access right is given to the evidence technicians. This along with the Evidence Reported access right give them full control over the form. This right give them access to 2 additional reports and all the Ribbon buttons to put the form into inventory and editing parts after inventory. The addition reports are the Gun Destruction and Crime Lab reports


Filling out the form

This form is filled out mostly like all form except it is required that the type of property is entered. Once the type of property is entered 1 of 5 groups is opened based on that property type. Each of the property types require different fields to be entered. These groups are Drugs, Vehicles, Firearms, Money and any thing that doesn’t fall into those a generic Property Item group. The Evidence Reporter access right gives officers the right to enter all the information and then validate the form.

This form is set up to replicate all the information except the property type from form to form to make it easier to enter property seized at the same time. The chain of custody is the only item that may or may not be carried over to the next form.
