Crash Database & Resolve System Updates
Email issue with DT4000 Daily and Weekly Transmission Report - Intermittent Errors
Issue:
This is regarding the failure of Crash Database and Resolve System to send daily and weekly automated emails to distribution lists (600 + recipients) which is caused by the UW campus email server imposing a limitation of 500 recipients per message.
The problem started on 2023-09-30 and a permanent code fix was implemented on 2023-10-10.
When:
Start Date: 2023-09-30
End Date: 2023-10-17
On 10/17/23, TOPS Lab informed us that UW technologists have resolved email delivery delays.
Impact:
Email Recipients were not able to receive daily and weekly transmission reports.
Resolution:
During the failure period, TOPS lab has sent reports directly to the recipients who have contacted TOPS / CRU.
A code fix was performed on the two email programs to break down email processes into smaller recipient lists.
Change Requests submitted to CAB
In the last four weeks, 1 normal change request and 1 Emergency Change Request were submitted to the Change Advisory Board which includes:
Emergency Change Request to address https://wi-state-patrol.atlassian.net/wiki/spaces/CDD/pages/2227863553
Monthly server maintenance for October 2023 was performed on https://wi-state-patrol.atlassian.net/browse/CRASHDB-1419
Transmission failures
We addressed 20 transmission failures in the last 4 weeks after providing solutions to the agencies.
6 are transmitted
6 was transmitted as other Document (Duplicate Document Number)
8 are pending with the agency.

FARS Case Management System Developments
We are finding that basic case setup using Box, Jira and Julia is working well.
A next significant step is to formalize fatal crash screening and evaluation for reportability is proving to be a challenge. The FARS team is in the weeds on the fine details of what constitutes a crash. We are working to accommodate this perspective while at the same time developing practical systems for provisional determinations of reportability for Daily Fatality reporting.

Meeting Schedule
Lets plan for a combined November December Workgroup meeting on 8 December. I’ve noticed that Friday’s are not good for some workgroup members. Should we consider shifting our meetings to Thursdays starting with the January 2024 meeting?
