Add a Notification to Advanced Searches

An advanced search notification is an email alert that is attached to a TraCS advanced search. Any advanced search created by any user can have a notification added to it.

When a notification is added to a search, the search will automatically run at an interval that you can specify.
Each time the search runs, it will compare the forms returned by the search with the forms returned by it the last time it ran. If new forms are returned by the search that did not exist during its previous execution, or existing forms have been edited in any way, an email notification will be generated.

The generated email will be immediately added to the Notifications table in the Log database and will be added to the Emails table in the Log database when the TraCS Notification service runs.

Add a Notification to a Search in the TraCS Forms Manager

 

Using the TraCS Forms Manager, users that have the correct access levels can add notifications to their advanced searches.

Open an Existing Advanced Search

  • Select the Advanced tab in the Search box.

  • Select an existing Advanced Search and click the Edit button.

  • Click the Notification button.

  • Configure the Notification properties.

Add a Notification to a Search using the Utilities Editor

 

Notification can also be added to existing advanced searches using the Utilities Editor.

  • Open the Utilities Editor (Utilities Tab>Utilities.

Add a Notification to a Search

  • Select the Notification Viewer tab.

  • Click the Schedule Searches button.

  • Select the user that created the advanced search for which you want to add a notification.

  • Select the advanced search for which you want to add a notification and the same window as shown above will be shown.

  • Configure the notification properties.

  • Click the OK button.


Edit Existing Notifications using the Utilities Editor

 

All advanced search notifications (created in the TraCS Form Manager or the Utilities Editor) can be viewed and edited in the Utilities Editor.

  • Open the Utilities Editor

  • Select the Notification Viewer tab.

  • Select the notification that you want to edit.

  • Double-click the notification or click the Edit button to display the Edit Notification window.

 

NOTE: Click the Reset Expiration button to extend the duration of the notification to the amount of time specified by the Expires property, starting immediately when the Reset Expiration button is clicked.
