Moving Forms between Cases


Periodically Form will get put under the wrong case. You can move forms from case to case and even move one to a new case altogether. There are 4 buttons in the Case Management Screen use to help

Case Information

Shows the Case information on the form highlighted.

Move Form(s) to Case

Moves forms from one case to another, and can create a new case.

Group By Case

Makes the Grid show forms under each Case.

Validate Case

Cases can be validated. For example if you have a crash form with a fatality but no fatal supplement you will get a warning.

 

Searching for Cases

Searching for Cases

Use the search bar and the Group By Case Button to search for a case.

  • Click the Group By Case button in the Records Management Ribbon

 

  • The Bar that contains the case information has information that can be scene without opening the Case information Button. Examples are the first case in the screen shot

    • Case Type – Aggravated Assault - 13A

    • Case Status – Open

    • Case Name (police Number fields usually) – 2022-123456

    • Case Date – 11/25/2020

    • Case Time – 00:00

    • Case Description (Case Narrative) – Case Narrative, only shown in Case

  • Choose Case in the Search Box and in the case number box put a partial case number using an asterisk to signify any character/any number of characters

  • Click the Group By Case button in the Records Management Ribbon to toggle off Group By Case

If the case already exists it is easy to move from one case to another case.

  • Click the Group By Case button in the Records Management Ribbon

  • If the search for the case number you are looking for does not exist Highlight the form to move

  • Click the Move Form(s) to Case button in the Records Management Ribbon

Click the New Case button on the bottom of the dialog box

  • Modify the information needed by your agency but 3 are required

    • Number: Change the Case number to the correct number

    • Date/Time: Edit the date time to the date/time of the incident, it default to the current Date/Time for new cases

    • Owner: Double check the owner as it will default to the person logged into TraCS not the form owner if it is different.

  • Click Create and double check it is correct in the Grid

  • Click the Group By Case button in the Records Management Ribbon to toggle off Group By Case

If the case already exists it is easy to move from one case to another case.

  • Click the Group By Case button in the Records Management Ribbon

  • Choose Case in the Search Box and in the case number box put a partial case number using an asterisk to signify any character/any number of characters

NOTE: if you search for a case number that can include both cases when you hit eh Move Form(s) to Case the Cases to move to will already be filtered for you.

  • Highlight the form to move

  • Click the Move Form(s) to Case button in the Records Management Ribbon

  • Highlight the new case name and click the Move Button

NOTE: You can search for additional cases if you do not see what you are looking for or there are to many to see.

  • Click the Group By Case button in the Records Management Ribbon to toggle off Group By Case
