Curation of DSP Historical Photo Content
The steps shown below are for work in renaming and identifying historical photos that have been added to the DSP Historical photo collections in SharePoint. Permissions to edit content in the DSP Historical Site must be adjusted before staff may edit content. Requests for permissions can be requested through Get IT help - WSP IT Service Desk - Jira Service Management.
The first step in renaming and identifying photos that have not yet had a new designated filename assigned is to give them a new filename that begins with “WSParchive”. Our historical photo collection has over 10,000 photos that have all been renamed using a standardized naming convention. The first photo was named “WSParchive000001”. As photos are added, they are renamed with the next higher WSParchive filename. “WSParchive011000” for example, was the name used for the 11 thousandth photo.
Here are the steps to follow for the renaming process.
Click on the following link to get to the newest photo collection in the DSP Historical Site.
If prompted for your credentials, enter you work email and work email password.
When SharePoint opens up, you should be looking at thumbnails of photos that have been saved, along with information about each. What we need help with is renaming the filenames for the newly added photos. To do this, note/copy the filename of the top photo that is shown. (WSParchive012957 in the example below)
Click on the down arrow to the right of the Name column and have it sort the photos A-Z by filename. You should now see that photos with different filenames are at the top (see below). These are the ones that need to be renamed and to have their associated information recorded.
To open the item to rename it and to add identifying information, right click on the row and choose More and Properties as shown below. Like most operations, there are a host of different ways you can open a record for editing.
When the record opens, click on Edit all to be able to rename the photo with the next consecutive higher WSParchive000000 filename and to add whatever additional information that you can based upon what is depicted in the photo.
Click Save in the upper left or lower left to preserve your changes.
That’s all there is to it. To continue with renaming the other newly added photos, right-click on the row next the next photo record. Follow the same process to rename it with the next higher consecutive “WSParchive” filename. Do this until all of the photo files have been renamed with the next higher unique WSParchive filename.
