Employee Process:
Enter First In and Last Out punches for core shift using the Time Reporting Code 01 REGLR ā Regular Hours Worked and the appropriate combo code with 0101 (work time) as the program code. For instructions on creating combo codes see the āPunch Time Entry for Employeesā job aid.
Enter First In and Last Out punches for the overtime shift using the Time Reporting Code 01 REGLR ā Regular Hours Worked and the appropriate combo code with project ID and program code for grant.
Click the bubble icon to enter comments.
Enter comments to reference OT for grant and the specific hours worked for the grant if there will be more than one line entry of work hours on the same day (see example below).
Click Add Comment.
Click Submit to submit the time entry.
Supervisor Process:
When approving timesheets, click the bubble icon to review comments submitted by the employee if there are comments submitted. The bubble will have lines in it if there are comments and it will be blank if there arenāt comments.
Below is a sample screen of an employeeās comments. Once you review the comments, exit out of the comment box.
If comments are entered, verify the time entered qualifies under the overtime grant, change the Time Reporting Code to 75 ā OTOCA ā Overtime Override by Day Cash and click Submit.
If the OT was worked on a legal holiday, please use the 62 ā OTHLF Time Reporting Code in lieu of the 75 ā OTOCA code. The 62 ā OTHLF code ensures the holiday half time pay is calculated correctly.
Note: If the employee did not work over 40 hours that week, they are not entitled to overtime pay. For example, there are 44 hours of paid time recorded in a week. The employee worked 36 hours (4 hours coded to grant work) and recorded 8 hours of paid leave; they are not eligible for the overtime pay as they only worked 36 hours that week.
